Join us as our new Program Assistant SAP S/4, Novonesis Program Management Office (PMO)
The Program Assistant will take on responsibility in an international project, working in interdisciplinary teams over several years to harmonize and digitalize business processes while consolidating and modernizing the IT landscape. The program assistant plays a crucial role in supporting the successful delivery of a complex S/4HANA transformation project. Acting as a key coordinator and facilitator, this role bridges communication between business, operations, IT and technology stakeholders, and external implementation partners. The assistant will help ensure efficient execution of project activities by providing administrative, operational, and strategic support to program leadership.

Our PMO is dedicated to orchestrating the seamless transition of Novonesis to SAP S/4HANA (S/4), ensuring that every facet of the project aligns with our strategic objectives and delivers transformative outcomes.
What We Do:
Strategic Alignment: Our PMO ensures that the SAP S/4 implementation aligns with the organization’s strategic goals. We facilitate cross-functional collaboration, ensuring that business objectives are met through meticulous planning and execution. Therefore, we organize target setting meetings with the leadership team of the company
Program Management Excellence: We provide robust project management support, overseeing the entire lifecycle of the S/4 transformation. This includes defining project scope, setting milestones, tracking progress, and managing risks to ensure timely and successful delivery
Stakeholder Engagement: Effective communication is at the heart of our PMO. We engage with all stakeholders, from executives to end-users, ensuring that everyone is informed, involved, and aligned with the project’s goals. This fosters a collaborative environment and smooth change management
Resource Optimization: Our PMO optimizes resource allocation, ensuring that the right skills and expertise are available at the right time. This maximizes efficiency and minimizes disruptions, enabling a smooth transition to S/4. That as well includes the management and alignment without external implementation partner
In this role you’ll make an impact by working with:
Administrative and Operational Support where you:
Manage schedules, organize meetings, and coordinate appointments dedicated to the Program Director, including business executives, IT leaders, and external consultants
Prepare detailed meeting agendas, document minutes, and track key action items
Maintain accurate records and documentation of program-related activities.
Organize travel arrangements, logistics for workshops, and on-site meetings for the Program Director
Communication and Reporting:
Act as the communication hub between cross-functional business, operations, IT stakeholders, and external implementation partners
Implement a regular update structure with the Program Director
Assist in drafting, reviewing, and distributing program updates, reports, dashboards and executive presentations for stakeholders
Manage communication channels to streamline the flow of information between business, IT, and implementation partners
Ensure timely escalation of issues and key risks to Program Director
Project Support:
Stakeholder Engagement:
Facilitate cross-functional collaboration among PMO, IT departments, and external consultants
Support to setup workshops, knowledge-sharing sessions, status updates, and alignment sessions status updates, and alignment sessions
Document results from workshops and meetings
Capture stakeholder feedback and ensure actionable follow-ups
Tools and System Support:
To succeed you must:
Hold a bachelor’s degree in business administration, Computer Science, Business Informatics, or a comparable field
Have experience as part of a PMO organization, ideally in large-scale IT transformation projects such as SAP S/4HANA implementations.
Have proficiency in collaboration and Office 365 tools (e.g., MS Office esp. PowerPoint, Teams, SharePoint)
Possess excellent communication, organizational, and time-management skills
Solid knowledge and several years of experience in project management (PMI or IPMA certification preferred), would be nice to have
Have proactive Mindset: Taking initiative to anticipate needs and address challenges before they arise
Be Adaptable: Navigating a dynamic environment and adjusting to shifting priorities
Be good at effective Collaboration: Working seamlessly with cross-functional teams and external stakeholders
Have attention to Details: Ensuring accuracy in documentation, reporting, and communication
Be resilient and Solution-Oriented: Maintaining a positive approach and finding solutions to obstacles
Be confident & professional: Handling sensitive information with discretion and professionalism
